1. Introduction

This policy explains how LiteWork Pro handles information across the public website, web app, and related contractor business workflows.

LiteWork Pro ("we", "us", or "our") provides contractor business software for customer management, documents, estimates, contracts, invoices, scheduling, payments, communication, financial tracking, and related business workflows. This Privacy Policy describes how we handle information when you visit our website or use our applications and services.

By using LiteWork Pro, you agree to this Privacy Policy. If you do not agree, do not use the services.

2. Information We Collect

The platform may process account, company, customer, property, document, payment, communication, AI, analytics, and device information.

  • Account information: name, email address, phone number, login details, roles, settings, preferences, passkey metadata, and authentication records.
  • Company and team information: company profile, branding, business settings, team member records, titles, payroll-adjacent settings, and workspace access data.
  • Customer and property information: customer names, companies, emails, phone numbers, addresses, properties, job sites, appointments, communications, and activity history.
  • Document information: estimates, contracts, invoices, document rows, materials, uploaded files, photos, signatures, receipt records, payment requests, and related notes.
  • Payment information: payment status, transaction identifiers, receipts, payment methods, Stripe and ACH processing details, fees, refunds, payouts, and funding-related records. Full card and bank details are handled by payment processors where applicable.
  • Communication information: email, SMS, phone, voicemail, conference, notification, opt-in, opt-out, and support-message records when communication features are used.
  • AI and automation information: prompts, feedback, item data, document-row context, receipt or image context, and generated suggestions when AI-assisted features are used.
  • Usage, device, and analytics information: IP address, browser, device, pages visited, diagnostic logs, cookies, Firebase/Google Analytics signals, and security telemetry.

3. How We Use Information

Information is used to operate, secure, support, and improve the workflows customers choose to use.

  • To create, secure, and manage user accounts, companies, roles, passkeys, and workspaces.
  • To provide customer CRM, property, document, estimate, contract, invoice, scheduling, job, team, item, material, receipt, dashboard, and reporting features.
  • To process invoices, payment requests, receipts, refunds, funding workflows, payouts, and related financial records through provider-backed services.
  • To send service communications, reminders, support messages, email, SMS, phone notifications, and customer-requested updates.
  • To provide AI-assisted suggestions, receipt-oriented assistance, analytics, quality review, troubleshooting, and product improvement.
  • To prevent fraud, protect accounts, monitor security, enforce our Terms, and comply with legal, tax, accounting, and regulatory duties.

4. Payments, Stripe, ACH, and Funding

LiteWork Pro includes payment, invoice, receipt, wallet, funding, ledger, and Stripe-related workflows. When payment or funding features are used, information may be processed by Stripe, banking partners, card networks, ACH providers, and other financial service providers as needed to complete the requested transaction or support compliance obligations.

LiteWork Pro does not store full card numbers or full bank account credentials when those details are collected directly by payment processors. Processor-specific terms and privacy notices may apply.

5. Email, SMS, Phone, and Notifications

LiteWork Pro supports service-related communication through email, SMS, phone, voicemail, conferences, and notifications where enabled. These workflows may use providers such as Twilio, Microsoft/Azure communication services, email delivery providers, and telecommunications carriers.

LiteWork Pro does not share, sell, rent, or disclose mobile phone numbers or SMS consent information to third parties for their own marketing or promotional purposes. Mobile phone numbers and SMS opt-in data are used for service-related communications such as appointment updates, job notifications, estimates, support messages, and customer-requested interactions.

SMS-related information may be shared with telecommunications providers and technology partners only when needed to transmit or support messages through the platform.

6. AI-Assisted Features and Receipt OCR

LiteWork Pro includes AI-assisted and receipt-oriented workflows in the product architecture. If you use those features, submitted prompts, feedback, item data, product data, document-row data, receipts, images, or related job context may be processed to provide suggestions, improve workflow accuracy, troubleshoot issues, and operate the feature.

AI-generated suggestions are informational and should be reviewed by the user before being used in estimates, materials, invoices, customer communications, or business decisions.

7. How We Share Information

LiteWork Pro does not sell or rent personal information.

We do not sell or rent personal information. We share information only as needed for the services, including:

  • Service providers: hosting, security, analytics, email, payment, Stripe, Twilio, Microsoft/Azure, Firebase, and operational providers.
  • Workspace users: company users, team members, subcontractors, or collaborators when sharing is needed for the workspace or job workflow.
  • Customers and recipients: customers receiving estimates, contracts, invoices, receipts, signatures, reminders, payment links, or communications.
  • Legal and compliance: courts, regulators, law enforcement, auditors, advisors, or other parties when required by law or needed to protect rights, safety, security, or the platform.

8. Security

We use technical, administrative, and organizational safeguards designed to protect information, including authentication controls, role-based access, passkey/WebAuthn support, provider-backed security controls, restricted access, monitoring, and encryption in transit where applicable. No system is completely secure, but we work to reduce risk.

9. Data Retention

We retain information for as long as reasonably necessary to provide the services, maintain business records, resolve disputes, meet legal, tax, accounting, security, and reporting duties, and enforce agreements. Accounts inactive for more than 60 days may be deactivated and scheduled for deletion, subject to legal or operational retention needs.

10. Your Rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information. California, EEA, UK, and other privacy laws may provide additional rights.

Rights requests can be submitted at support@liteworkpro.com. We may need to verify your identity before completing a request. LiteWork Pro does not sell personal information.

11. Children's Privacy

The services are not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has provided information to us, contact us so we can take appropriate steps.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date above. Please review this page periodically.
